Managing orders
Read the order list at a glance, drill into an order's items, license agreements, and timeline, and use the resend and add-email actions.
The Orders page lists every order containing your music, 25 per page, newest first. Each row links to a detail page with the purchased items, totals, license agreements, and a timeline of everything that happened to the order.
The order list
Each row shows:
| Column | What it tells you |
|---|---|
| Order | The Shopify order number. Click it (or anywhere on the row) to open the order. |
| Customer | The customer's name, when Shopify captured one. |
| The delivery address. An order with no address shows a critical Email missing badge, which means delivery is waiting on you. | |
| Total | The order total in the order's currency. |
| Status | The delivery state. See the table below. |
| Fulfilled | When delivery completed, for fulfilled orders. |
The open in Shopify button at the end of each row jumps to the same order in your Shopify admin without leaving the page.
Status badges
| Badge | Meaning | What to do |
|---|---|---|
| Fulfilled | Delivered. The customer has their email and downloads. | Nothing. |
| Unfulfilled | Delivery hasn't completed yet. Normal for a few moments after purchase. | If it persists, see Order stuck in Unfulfilled. |
| On hold | Tuneboom paused delivery, most often because the customer email is missing. | Open the order; the banner tells you exactly what's needed. |
| Missing audio | A purchased track has no audio file uploaded, so there is nothing to deliver. | Upload the audio. See Missing audio on a purchased track. |
| Partially fulfilled | Some items delivered, some not. | Open the order timeline for details. |
| Skipped | Intentionally not fulfilled, for example an exclusive license that another buyer had already won. | The order detail shows a banner; a skipped exclusive requires a refund from your Shopify admin. |
The order detail page
Click any order to open it. The header shows the order number, its status badge, and View on your store, which opens the order in your Shopify admin.
- Products: each purchased item with artwork, type, and quantity × price. Item titles link back to the track or album in your catalog.
- Order info: subtotal, tax, and total.
- License agreements: see below.
- Timeline: see below.
- Fan / Contact information: the customer's name, email, and phone, as captured by Shopify.
License agreements
Every licensed item in the order gets a generated agreement. For each one you see the item title, whether the buyer accepted at checkout (with the exact timestamp when they did), and links to View the hosted agreement page and download the PDF.
Orders placed before you set up licensing have no agreements. Press Generate to create them for those past orders. Generating is safe to repeat: existing agreements are reused, never duplicated. For how agreements work end to end, see Agreements.
The timeline
The timeline is the order's delivery history: created, fulfilled, email sent, and, when something needs you, an error entry with the fix built in:
- Digital delivery email failed to send. Customer email missing! carries an Add email button that opens the add-email dialog directly.
- Fulfilled entries carry a Resend email button.
Actions
Resend the delivery email
Customer deleted the email, or it went to spam? Open the order and use Resend email on the fulfilled timeline entry. A confirmation dialog shows the destination address; press Send and a toast confirms the resend. The resent email carries the same download links as the original.
Add a missing email
When an order has no customer email, delivery holds and the order shows a critical Email missing banner:
Open the order and press Add email to order (in the banner) or Add email (on the timeline event).
Enter the customer's address in the Add email address to order dialog and press Add email.
Delivery resumes automatically. Tuneboom fulfills the order and sends the delivery email without any further input.
An order that already has an email can't have it changed here; the address is set once. If a customer wants their music at a different address, use Resend email after correcting the address on the order in Shopify, or point them at their hosted download page.
